Summary

Under the general supervision of the Director, this temporary position typically provides general receptionist, secretarial, bookkeeping, and administrative support to the office by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, handling complaints from the public and other matters of similar complexity.  The position exercises considerable independence of action in routine administrative matters, which might involve handling proprietary and private information. The incumbent must have a thorough knowledge of confidential record keeping, proper English usage, grammar, spelling, punctuation and basic math skills.

  Essential Job Functions

  1. Must have ability to develop and maintain good working relationships with co-workers, supervisor, various volunteers, and the general public.

  2. Receive and route customer’s incoming phone calls on a multi-line phone system to the appropriate individual and answer in-person questions in a professional, polite manner.

  3. Knowledge of general office machines and functions including: calculators, multiline phones, fax machine, copier, data entry, arithmetic operations.

  4. Proficiency using computer applications including but not limited to: Word, Excel, Outlook

  5. Must be able to perform basic bookkeeping and accounting, receipting, cash-handling, data entry, reconciliation and balancing.

  6. Able to prepare reports in a timely, reliable, and comprehensive manner.

  7. Provides administrative support to the office manager, which includes, but is not limited to: reviewing, responding to, and screening e-mails and phone calls; interacting with public officials, external agencies, and/or County staff. 

  8. Performs special projects and prepares various forms and reports on behalf of the office.

  9. Provide general assistance and information to the public regarding operations and office matters.

  10. Reviews and verifies materials for completeness and conformance with established standards and policies.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This is largely a sedentary role; however some filing, lifting and carrying may be required. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit; stand; walk; lift; use hands to finger, handle or feel; and reach with hands and arms. Ability to lift up to 20 pounds, twist, and bend.    

Position Type and Expected Hours of Work

This is a full-time, permanent position and hours are primarily 8am to 5pm, Monday through Friday        

Travel

Occasional travel is expected.

Required Education and Experience

  • High School diploma or equivalent

  • In addition to experience listed above, minimum 1 year experience in an office environment with secretarial/administrative responsibilities.


Preferred Education and Experience

Associates Degree or higher in a business field.

  • Able to complete a thorough employment and/or criminal history check.

  • Able to successfully pass a pre-employment drug test (not required for all positions).

  • Valid Oregon Driver’s License

  • Final candidates will be required to provide official proof of college degree and certified transcripts (not required for all positions).
